  • Provide updated information regarding new community Association legislature.
  • Code and process Association invoices.
  • Prepare escrow demands.
  • Maintain computerized log for customer service.
  • Prepare Association billing statements, messages, and inserts.
  • Organize and assist in conducting annual election meeting and distribute membership notifications.
  • Prepare annual calendar of events customized for Association.
  • Levy late fees according to Association collection policy.
  • Submit monthly delinquent report to the board of directors.
  • Maintain data pertaining to all transfers of ownership for billing purposes.
  • Send reminder/violation letters when applicable maintain ACC log of all architectural committee approvals.
  • Obtain proposals for contracts for Board approval.
  • Prepare certification forms as needed for lenders.
  • Prepare 1099's.

  • Preparation of meeting minutes and executive meeting minutes.
  • Receive and record all telephone calls and request from owners/tenants.
  • Contact Association vendors regarding corrective work as reported.
  • Issue welcome packages to new owners.
  • Attend all regularly scheduled Board of Directors meetings.
  • 24 Hour On-Call Emergency Backup Service, 365 days/year for Emergency Maintenance Request.
  • Documented inspection reports.
  • Review all correspondence and proposals.
  • Assist with preparation of annual budget.
  • Monitor subcontractor's work performance.

 

We also prepare and submit Board of Directors Packets to include: meeting agenda, financial reports, new and pending business, management status report, activity log, violation log, work order summary for complete and incomplete work orders and telephone log.
